Meet Declarations

In order to properly seed the meets which are on Mondays or Tuesdays - we must have an accurate list of which swimmers will be and will not be participating on the Friday PRIOR to the meet.  Since most of us plan our vacations and trips earlier in the year, it would be helpful if parents will go ahead and sign out as soon as possible.  You will get an email from Swimmingly to let you know when a meet declaration is open. You need to sign your swimmer "in" or "out" for the meet. You can find a step-by-step document here.

Sign in/outs or lack of have the most impact on our relay teams and can determine who can participate in a relay.  

Please note that if the board or coaches notice that families are not signing in/out and showing/not showing up for the meets, it may determine whether your child is entered into future relay teams both at the dual meets and at championships.

We do not have a requirement of how many meets you are required to attend in order to be part of the team, as we know it is summertime and we all have vacations, reunions and family events that have been planned.  However, the Summer Fun League has a rule that for a swimmer to participate in championships, they must have attended TWO dual meets during the regular season. 

If the meet gets rained out, the swimmer is counted as long as they swam in the freestyle races which are at the beginning of the meet.

Parent Information for Meets

Things to Bring to the Meets:

  • Chairs and Blankets - there is never enough seating
  • Permanent Marker to mark the following on your swimmer: 

    - Swimmers Last Name, PF, and their number on their right shoulder, it works best on the upper arms and not the back

 - Mark your child's races on their arm - if they are in event 7, heat 2, lane 3 then you          write 7-2-3 on their arm.  Do this for all events, DON'T FORGET to check the relays!

 

  • Lots of Water or Gatorade - it can be very hot and it is very important that the swimmers drink lots of liquids
  • Team Spirit - remember that you are representing Polo Fields and acceptable team behavior is expected.  No cursing or inappropriate behavior will be accepted.
  • Supervise Your Children - children under the age of 12 are not to be left without adult supervision.  It is your responsibility to arrange supervision with another adult if you will not be there.  The Coaching Staff is not responsible for your children before, during or after a meet.

 Swimmer Information for Meets

  • Be respectful and courteous to all meet officials, workers, coaches, and opponents
  • Be on time
  • Wear team swimsuit and t-shirts to show spirit
  • Stay in your designated area – report to your age group parent if you must leave the area
  • Keep the team area neat – clean up after yourself
  • Know your event numbers and report to the age parent or clerk of course on time
  • Direct any questions regarding meet results or officiating to the Coaches
  • Do not leave the meet early without checking with the coaches
  • No swimming or playing in the baby pool during meets
  • No sitting on the stairs in the pool during a meet; no dangling feet in the water during a meet
  • Have fun and do your best!
